Booking Policy

By proceeding with my booking I confirm that I understand and agree to the following terms and conditions…

+ I understand that a request by the cardholder to the bank, Stripe, or Paypal for a refund of the fees will result in an automatic denial of the claim.

+ All clients must be 18 years old at the time of treatment.

+ In the event a clinic is re-arranged or cancelled by Cole Aesthetics Clinic Ltd. that Cole Aesthetics Clinic Ltd will not reimburse travel nor cover further expenses that may be incurred as a result.

+ If you are not able to provide ID when asked we will not proceed with treatment and you will lose your booking fee.

+ We do not allow children on the premises. If you arrive with anyone under the age of 18 we will not proceed with treatment and you will lose your booking fee.

+ We are not able to treat you if you have arrived more than 5 minutes late to your booking. You may be refused by the clinic and will lose your booking fee.

+ We are not able to treat those who are medically unfit for treatment. For a list of exclusions please see

+ We cannot accept bookings made on behalf of someone else. We are not able to transfer bookings or booking fees to another individual.


+ People can move appointments with less than 24 hours notice when they have already paid for a course of treatment.

+ If you wish to reschedule your booking you must give a minimum of 24 Hours’ notice otherwise you will lose your booking fee.

+ I understand that I am unable to publish or discuss any negative content in relation to Cole Aesthetics Clinic Ltd or to Practitioner Steven Cole on the internet via social media or other. Failure to comply with this will result in court proceedings.

For medical reasons, we are unable to treat those who;

+ Have had or are planning to have a Corona Vaccination within the two-week period before, and three-week period after scheduled treatment.

+ Have severe active acne in the treatment area and/or those using steroids, chemical peels or retinol in the two weeks prior to the appointment.

+ Have an active cold sore/oral herpes on the day of treatment

+ Have been on antibiotics within the past two weeks for facial/oral infection.

+ Are immunocompromised and/or unwell on the day of the appointment – Flu/Cold/Virus ( to prevent complications ).

+ Have had facial surgery in the past 12 months.

+ Have had dermal filler elsewhere in the past 12 weeks ( there is a risk of complications with mixing products ).

+ Are undergoing, or have received chemotherapy within the last 6 months/or are on any auto-immune medication. Auto Immune medication must be stopped 6 months prior with a doctor’s note.

+ We feel are not ready, or suitable for treatment.

It is important to note that it might take multiple treatments to achieve your desired result. Although it may be expensive to build initially, maintaining results is easy once you get there. Regardless, you shouldn’t begin a journey until you’re ready to commit. Dermal fillers are temporary and require upkeep once or twice a year. This is paramount to consider before booking.

Consultation & Booking Fee

Sadly owing to a number of “no-shows” it has become necessary to introduce a booking fee of £20 for any in-clinic appointment. This is payable at the time of booking and appointments are not confirmed until the fee has been paid. This is the charge for my time in the clinic, my advice and my expertise relating to your skincare & aesthetics needs. Should you go on to have treatment in the clinic the £20 consultation fee will be deducted from the cost of your treatment or can be held as a deposit for any follow-up or review appointments.

Deposits are strictly non-refundable.

Cancellation and Failing to attend your appointment

If for any reason you need to cancel or reschedule your appointment please give us a minimum of 48 hours notice.

Anti-Wrinkle Treatment Review Appointments

Routine review appointments are offered after treatment with anti-wrinkle treatments if needed. If you are unable to attend the review appointment at 2-3 weeks, no additional treatment or ‘top up’ can be provided once the review period of 2-3 weeks has passed. The £20 booking fee will be held until after your review appointment to secure my in-clinic time.

Lateness Policy

Whilst we fully appreciate that it is sometimes out of your control, please understand that we are very clear on our policies regarding booking fees and lateness. We make these policies very clear on our terms and conditions, which all patients must accept prior to booking.

We are a kind company, and if we are able to accommodate your booking safely, then we will do that. However, under no circumstances will we be pressured into treating latecomers if we are rushed, short of time, or if it will cause a disruption to remaining patients or the rest of the day. Please understand that we are a professional business and these treatments take time and precision. It is therefore at the technician’s discretion as to whether it is safe and professional to go ahead in the time frame available.

In the event you are able to be seen, you will unfortunately lose your booking fee and you will be required to make a new booking. We, therefore, urge you to set off early and make travel/parking arrangements prior to your visit. All decisions are made in the best interests of our patients and whilst we appreciate our policies are strict, they are a last-case scenario.

If for any reason you are running late to your appointment please WhatsApp us on 07787 082680 to let us know. We work very hard to schedule the right amount of time for each treatment. Lateness of 10 minutes or more will require either shortening down your treatment time or rescheduling your appointment for another day and the loss of your deposit.

Consultations & appointments with the practitioner will be subject to a £20 booking fee, payable on booking. This is redeemable against treatment carried out in the clinic. You will be advised of the full costs of any treatment plan proposed and agreed, including that of any maintenance treatment, before any treatment is undertaken. The treatment fee is to be paid in full before your treatment.

  • Payment is taken, in full at the time of treatment.
  • The clinic accepts cash, bank transfer or major debit and credit cards.


Fees charged for treatment are for the delivery of a treatment and the accompanying service, which is inclusive of;

  • Consultation and assessment
  • Provision of information and advice
  • Safe treatment with evidence-based products
  • Follow-up appointments and aftercare advice and support as appropriate

Whilst we undertake to provide excellent service; factual, honest and ethical advice, safe, expert treatment in experienced hands and only the best products, we cannot guarantee your results and cannot offer refunds if the results achieved fail to meet your expectations.

Treatment Packages

All packages are to be paid in full before treatment commences.

All packages and treatments are non-refundable and non-transferable.

You understand if you schedule appointments and miss them the treatment will still be deducted from your package.

Gift Vouchers

No refunds will be given for gift voucher purchases. Gift vouchers are NOT redeemable for cash. Gift vouchers are valid for 12 months from the date of purchase. Gift vouchers are redeemable only against products and services. If change is required this will be given in the form of a credit on your client record at the clinic to be redeemed on your next visit.
